This Privacy Policy explains how Ryanchow Pty Ltd (ABN 99 100 901 488), trading as "Ad Agent" ("Ad Agent", "we", "us" or "our"), collects, uses, discloses, and protects your personal information. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles ("APPs").
By using the Ad Agent platform, websites, and related services (the "Service"), you agree to the collection and use of information in accordance with this Policy.

1. Information we collect
We collect the following categories of information:
- Account information — your name, email address, password (stored in hashed form), organisation name, role, and team members you invite.
- Billing information — your subscription plan and billing history. Card payments are processed by our payment processor, Stripe; we do not store full card numbers on our systems.
- Authorisation credentials — access and refresh tokens we receive when you connect a third-party platform, which we store securely to access that platform on your behalf.
- Connected platform data — advertising, analytics, and e-commerce data we retrieve from the platforms you connect (see Section 2).
- Usage data — how you interact with the Service, such as pages viewed, features used, settings, and actions taken (including agent actions and approvals).
- Technical data — IP address, browser and device information, and log data collected automatically when you use the Service.
- Communications — messages you send us, such as support requests.
2. Connected platform data
When you connect a third-party account — such as an advertising platform (e.g. Google Ads, Meta), web analytics (e.g. Google Analytics 4), or an e-commerce platform (e.g. Shopify, WooCommerce) — you authorise us to access and process data from it on your behalf. Depending on the platform, this may include campaign settings and performance metrics, spend, conversions, audience and targeting information, product and order data, and aggregated customer metrics.
We access only the data needed to provide the Service and act on the permissions you grant. You can disconnect any platform at any time from your account settings, which revokes our ongoing access to that platform.
3. How we collect it
- Directly from you — when you register, configure your account, contact support, or use the Service.
- Automatically — through your use of the Service, including cookies and similar technologies.
- From Connected Platforms — through their APIs, using the authorisation you provide.
- From service providers — such as our payment processor for billing status.
4. How we use your information
We use personal information to:
- provide, operate, and maintain the Service, including analysing your connected accounts and generating insights, recommendations, and automated actions;
- set up and manage your account, authenticate you, and manage team access;
- process payments and manage subscriptions;
- provide customer support and respond to your enquiries;
- monitor, secure, troubleshoot, and improve the Service;
- send you service-related and, where permitted, marketing communications; and
- comply with our legal obligations and enforce our terms.
5. AI processing
The Service uses artificial-intelligence models to analyse your data and generate insights, recommendations, narratives, and optimisation actions. To do this, relevant data (such as campaign performance metrics and account configuration) may be sent to third-party AI model providers that process it on our behalf to return a result.
6. Who we share your information with
We do not sell your personal information. We share it only as needed to run the Service, including with:
- Cloud hosting and infrastructure providers that host and operate the Service;
- Stripe, our payment processor, to process subscription payments;
- AI model providers, to generate analysis and recommendations as described above;
- Connected Platforms, when we act on your behalf or send back changes you authorise;
- Professional advisers and authorities, where required by law, regulation, legal process, or to protect our rights, users, or the public; and
- A successor entity, in connection with a merger, acquisition, or sale of assets, subject to this Policy.
We require our service providers to handle personal information consistently with this Policy and applicable law.
7. Google API data
Ad Agent's use and transfer of information received from Google APIs (including Google Ads and Google Analytics) adheres to the Google API Services User Data Policy, including its Limited Use requirements. We use Google user data solely to provide and improve features you have requested, do not transfer it except as necessary to provide those features or as required by law, and do not use it to serve advertising or to train generalised AI/ML models.
8. Cookies & tracking
We use cookies and similar technologies to keep you signed in, remember your preferences, secure the Service, and understand how it is used. You can control cookies through your browser settings, though disabling some cookies may affect how the Service works.
9. Security & storage
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These measures include encryption in transit, access controls, and secure storage of authorisation credentials. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Overseas disclosure
Some of our service providers (including hosting, payment, and AI providers) may store or process data outside Australia, including in the United States and other countries. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the APPs.
11. Data retention
We retain personal information for as long as your account is active and as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. When you close your account, we delete or de-identify personal information we no longer need, subject to legal and operational retention requirements. You should export any data you wish to keep before closing your account.
12. Your rights
Under the Privacy Act, you may request access to the personal information we hold about you and ask us to correct it if it is inaccurate, out of date, incomplete, or misleading. You can update much of your information directly in your account settings, or contact us using the details below. We will respond within a reasonable time and may need to verify your identity first. If we decline a request, we will explain why where required.
13. Marketing
We may send you marketing communications about features and offers. You can opt out at any time using the unsubscribe link in those messages or by contacting us. We will still send you essential service-related communications, such as billing and security notices.
14. Children
The Service is intended for businesses and is not directed to children under 18. We do not knowingly collect personal information from children.
15. Changes to this Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide reasonable notice (for example, by email or through the Service). The "Last updated" date above indicates when this Policy was last revised.
